ClearTitle AI LLC · Effective October 2026 · Version 1.1

ClearTitle AI™ is software that helps title professionals search recorded property records and examine them faster. This policy explains what information we collect when you use it, why, who we share it with, and the choices you have. We have tried to write it in plain language.

The short version. We collect only what we need to run your account and your searches. We do not sell personal information, we do not run advertising or analytics trackers on our site, and card numbers never touch our systems (Stripe handles payment). You only need to enter a public parcel number or address, so please do not enter client files or non-public personal information such as Social Security numbers or loan numbers, including in the examination chat.

1Who we are

ClearTitle AI LLC, a Delaware limited liability company based in Washington, DC ("ClearTitle AI", "we", "us"), operates the website and application at cleartitleai.com and app.cleartitleai.com (the "Service"). The Service is for businesses and professionals in real estate and title. It is not directed at consumers. If you use the Service on behalf of a firm, "you" includes that firm.

Questions about this policy: privacy@cleartitleai.com.

2What we collect

Information you give us

Information collected automatically

Information from other sources

Property records, tax and assessment data and permit data from government sources (see section 3).

We do not collect your phone number or mailing address when you sign up. We do not knowingly collect Social Security numbers, financial account numbers or similar non-public personal information, and the Service is not designed to receive them.

3Information in public records

To produce a title examination we retrieve recorded documents and public data for the property you ask about, from sources such as the DC Recorder of Deeds, Maryland land records, state assessment records and county tax records. These records name people and organizations: property owners, buyers and sellers, lenders, trustees and others involved in recorded transactions. That information is already public.

We use it only to prepare the report you requested. We do not sell it, build people-search profiles or directories from it, or use it for marketing. A report is visible only to the account that ran it, through My Reports. Briefings contain only public-record information about the property and do not display account or customer information. Report links are private links, so anyone you share one with can open it and you should treat them accordingly. If you are named in a public record and have a question or concern about how a report used it, contact us (section 13). We may not be able to remove information from a report where a customer needs it to carry out a title examination, and we cannot change the public record itself.

4How we use information

We do not use your information for advertising. We do not sell personal information, and we do not share it for cross-context behavioral advertising.

5AI processing

Reports and chat answers are produced with AI models. The inputs are public-record data for the property you chose, our instructions, and any question you type into the examination chat. We do not use your questions or your account information to train AI models. Reports are AI-assisted, can contain errors, and must be verified by a licensed professional; see our Terms of Use.

6Recorder logins

For some jurisdictions the recorder requires a login. If you are asked for one, we use it only to sign in to the recorder's site for the searches of that one report. It is sent over an encrypted connection. While your report is being prepared we keep it only in encrypted form, tied to that report, and we delete it when the report is ready, fails or is cancelled, and in any case within six hours. It is never used for any other purpose or shared.

7Who we share information with

We share information only with service providers who help us run the Service, under contracts that limit their use of it:

We may also disclose information to professional advisers, to comply with law or legal process, to protect rights, safety and security, and to a successor in a merger, acquisition or sale of assets (we will tell you if your information becomes subject to a different policy). We may share aggregated or de-identified information that cannot reasonably identify you.

8Cookies and browser storage

We use one essential cookie, ct_session, to keep you signed in. It is set as secure and HTTP-only and lasts up to seven days. We also use your browser's local storage to remember your sign-in state and a few preferences. We do not use advertising, analytics or cross-site tracking cookies. Our checkout and billing pages load Stripe, which may set its own cookies for fraud prevention, and our pages load fonts from Google. Because we do not track you across sites, we do not respond to "Do Not Track" signals beyond that.

9How long we keep information

10Security

We protect information with encryption in transit (HTTPS), encryption at rest in our cloud and database providers, access limited to people who need it, and one-way password hashing. No system is perfectly secure. If we learn of a breach affecting your information we will notify you as the law requires.

11Your choices and rights

You can ask us to access, correct, export or delete the personal information we hold about you, and to stop sending you non-essential email, by writing to hello@cleartitleai.com. We will verify your identity and respond within the time the law allows. Depending on where you live (for example California, Colorado or Virginia) you may have additional rights, and we honor them as required. You can appeal a decision by replying to our response. You will not be treated differently for exercising a right.

12Children, location and changes

Children. The Service is for business users and is not directed to anyone under 18. We do not knowingly collect information from children.

Location. We operate in and store information in the United States. If you access the Service from elsewhere, you understand your information will be processed in the United States.

Changes. We may update this policy. For material changes we will notify you by email or in the app before they take effect. The effective date above shows the current version.
